PS IT Solutions is a full-service IT company focused on small and medium-sized enterprises, with a strong focus on the fitness, gastronomy and hospitality sectors. After acquiring a POS company, their services have become even broader. “We completely unburden our customers,” says owner Pascal. “Whether it’s internet, telephony, automation or workplace management – we take care of everything.” In this blog, more on how they set up their procuration system.
Pascal is involved in all processes: “I really am a jack-of-all-trades. Everything that happens in the company, I am involved in,” he explains. “From technical installation to invoicing – it all comes to me.” And just that one point, invoicing, started to fray at one point.
The reason: from paper chaos to digital overview
“There used to be piles of invoices on my desk. That just didn’t work anymore,” Pascal looks back. In 2019, he therefore decided to switch to digital invoicing. But at first, it took some getting used to. At first, I actually lost the overview. “Everything was in folders or systems somewhere, but I no longer knew what was open and what was not.”
That’s when he discovered TriFact365. What especially appealed to Pascal in TriFact365 was the procuration system. Someone else books the invoices, and then Pascal approves them. This gives you an extra check and memory aid in the process. You see exactly which invoices are still outstanding.”
Overview and convenience
The switch proved to be a hit. “Since I have been working with TriFact365, I have an overview again. Everything runs in a structured and digital way. The system is fast – an invoice is in there within seconds. With other solutions, it can take up to an hour.”
The difference with other accounting solutions is also clear to Pascal. “I tried Exact, but in it I missed an authorisation and procuration system. With TriFact365, that’s just right in there. That’s also nice for owners who don’t want to dive into the accounts themselves.”
Moreover, Pascal appreciates the flexibility of the system. “You are not tied to anything. If you don’t like it, you take it out in no time. But to be honest: as soon as I tried it, I didn’t want anything else.”
Other entrepreneurs also benefit
Pascal also sees the effect among his customers. “I regularly recommend it to others. One gym I know used to print everything out and send it manually. Then it sometimes took up to a month before an invoice was booked. Now this is completely different. The owner can now approve it himself at his own convenience, without depending on paper.”
Looking ahead: efficiency and control
What does Pascal want to achieve with TriFact365? “Above all, peace of mind and overview,” he says firmly. When you have to keep a lot of balls in the air, it obviously helps enormously if your invoicing is simply well organised. That way Pascal faces fewer surprises and has everything under control.
